A Step By Step Guide on How to Plan your Party!

10 steps on how to plan a successful party

I received a party pack, now what?
Woohoo, you are on your way to planning a great HB Fundays Party! Now, look inside to see what tools we have sent you to get your party off to a great start.

I see there is a promotional poster, where can I get more?
You can download this year’s poster from our website here.

What do I do with the HB Hazelbrook Farm Ice Cream vouchers?
Each voucher financially covers 1 block of HB Hazelbrook Farm Ice Cream. These vouchers are redeemable at any shop that stocks the HB Hazelbrook Farm Ice Cream Range.

I am going to be hosting a large party; will I be able to redeem all of my vouchers in the one shop?
If you receive a large number of vouchers- for example anything over 10 vouchers for 10 blocks of ice cream, please contact your local shop/shop to organise that they will have the ice cream in when you wish to collect. Give the shop as much notice as possible as you don’t want to be disappointed if they can’t supply you with all of your ice cream needs. If you live in a small village, please inform your local village shop in advance if you are hoping to get numerous blocks from the shop.

I don’t have space to store all of the ice cream until my party, what should I do?
If you need a freezer to hold the stock of ice cream, you could ask your local shop/pub/restaurant that is near where you are having the party, if they could hold the ice cream for you, and you can take the ice cream when need be.

How much do I charge for the ice cream?
Each block should be split into 6 slices; each slice should be charged at a minimum of €2 each equating to €12 per block of ice cream sold.

Is there a fundraising target I should be aiming for?
Definitely! By charging a set minimum of €2 per slice, with 6 slices per block, you can raise €12 per block. If you have 30 guests at your party, you should raise €360. Imagine if you had 50 guests or even 100! This will assist us in reaching our overall fundraising target for the campaign which is €350,000.

How should I serve the ice cream?
We love to serve ours in wafers or make a sundae with loads of toppings! Look here for recipe ideas http://bit.ly/2I9uaMq

I’m thinking of having a theme for my party, is that OK?
Absolutely and we encourage you to do so! Make your party as fun as possible. Here are some ideas to get you started: http://bit.ly/2oXifIY

If the weather is bad, what will I do?
As we all know, we cannot predict our weather! Have a plan B in case of rain; a marquee, a local sports hall or community hall. There are so many alternative venues to host your party.
Remember.. don’t let the weather dampen your spirits. You can have Ice Cream and fun no matter the Weather!!!

There is a bank lodgement slip in the pack, what is this for?
This lodgement slip will make it is easy for you to lodge the funds your party has raised. Make sure there is a party ID number on the lodgement slip so we can identify the funds as they come in. You should also put your name as a reference.

I didn’t have quite as many guests as I thought and I have unredeemed vouchers left. What should I do with them?
Please send them back to us as soon as you can as we can reissue them to other party hosts. It is extremely important that we get all unredeemed vouchers back for transparency reasons, as they have a financial value.

I have some ice cream blocks left over, what happens to those?
Due to health and safety, ice cream cannot be returned to the shops. Try to avoid wastage by being realistic with your guest numbers, when redeeming your ice cream vouchers. You could always ask your shop keeper to hold a few extra blocks just in case.
Alternatively, sell.. sell.. sell!

I have lost my lodgement slip. How else can I lodge the funds I have raised?
If you have lost your lodgement slip, you can send us a cheque or postal order to Down Syndrome Ireland, Unit 3, Parkway House, Western Parkway Business Park, Ballymount Drive, Dublin 12, D12HP70, with your details. Alternatively call 1890 37 37 37 and we will send you out a new lodgement slip.

I have lodged the funds my party raised. Do I need to do anything else?
Thank you so much! We will send you a certificate of participation.
If you have any photographs or videos that you would like to share with us, please send them. We would love to see them and share them on our social media platforms (links below).

What if the weather is bad?!

If the weather is bad, don’t panic and don’t stress. It’s not the end of the world, think of it as an unexpected guest to your party and you won’t be the only party that this guest has decided to attend.

If you are having your party inside, then the rain shouldn’t affect your day.

If your party is outside, have a plan B. Unfortunately the one thing that you are not guaranteed in Ireland is the good weather, so be prepared not surprised.

Get the support of a local hall or organisation and ask them if the weather is bad can you please use their premise. Please do not leave this to the last minute. Ask when you are planning your party to ensure that the building is free and to sort out any insurance details. (This depends on what you are having on the day).

If it’s in your house and you have a marquee or a large tent (for the children), think of that as an option. You could also use the marquee at any other venue you may be holding the party. If the party is in your house or in a community hall and you have children attending, maybe organise some movies or inside games (such as musical chairs, pass the parcel) for entertainment. Adults may also want to play in these games- so the more the merrier.

Remember don’t let the weather dampen your spirits. You can have Ice Cream and fun no matter the Weather !!!

Why not make the most of the rain- grab your wellies and umbrella and some ice cream and sing in the rain while eating your ice cream. It would make some fun photographs and allow yourself to be a child again!!!! Bring back the memories of when you were a child and you didn’t mind getting caught in the rain.

Remember these simple rules if the weather is bad:

  • Stay Calm and Relax
  • Have a Plan B (that has been organised in advance in case of bad weather)
  • Eat some Ice Cream, let your hair down and have FUN!

‘The Ice Cream Funday, even with Typical Irish ‘summer’ weather was a great success and great fun and I am sure we would love to run one again next year, in fact, we look forward to it.’
